Summary
Authorization to execute the necessary documents to extend current software licensing Agreement for an additional 18 month term ending June 30, 2027 with Vermont Systems for RecTrac and WebTrac applications that support online booking and management software for Parks & Recreation activities, and further authorize the execution of any future documents, including annual renewals for successive 12-month periods, necessary for the operation, support, or maintenance of the same, subject to the appropriation of sufficient funds. BE IT RESOLVED BY THE COUNCIL OF THE LEXINGTON-FAYETTE URBAN COUNTY GOVERNMENT:
Section 1 - That the Mayor, on behalf of the Lexington-Fayette Urban County Government, or the Chief Information Officer as the Mayor’s designee, be and hereby is authorized to execute a renewal agreement, which is attached hereto and incorporated herein by reference, with RecTrac LLC, d/b/a Vermont Systems, for RecTrac and WebTrac Software, for the Division of Parks and Recreation, at a cost estimated not to exceed $30,000.00 in FY2026, and the Mayor, or the Chief Information Officer as the Mayor’s designee, be and hereby is further authorized to execute any other documents, including future renewals, necessary for continued implementation, operation, support, or maintenance of same, subject to annual increases in an amount not to exceed five percent (5%), contingent upon the appropriation of sufficient funds in future fiscal years.
Section 2 - That an amount, not to exceed the sum of $30,000.00, be and hereby is approved for payment to RecTrac LLC, d/b/a Vermont Systems, from the following account: #1101 - 202505 - 76102, pursuant to the terms of the agreement.
Section 3 - That this Resolution shall become effective on the date of its passage.
